Storing Images & Sharing for Remote Review

All POCUS images should be saved for subsequent review and quality assurance purposes with appropriate data governance.

  • Sign in to machines on start-up. Login details are the same for all machines and are detailed on stickers on top of the machine (u: CCU / p: Scan)
  • Store all studies with the correct patient details (including Name, Hospital number and DOB) and the name of the operating scanner
  • Document the machine used in your structured report

**Patient Details can be added retrospectively on all machines if performing scans in an emergency**

There are four ultrasound machines available to use on the Salford critical care unit (Sonosite PX and 3x GE Vivid-IQ). Images from all machines will be intermittently uploaded to the Phillips server for subsequent review on the Phillips Intellivue software. However, immediate review of images will still need to take place on the individual machines.

Images can be anonymously downloaded from all machines for remote review when working towards FUSIC accreditation. This can be completed online using a well-established sharing portal ‘Sonoclipshare’. The online archive is encrypted and password-protected. However, you are responsible for ensuring that no patient-identifiable information is ever shared on these portals to prevent breach of personal health information (PHI) guidance.

Storing & Downloading Images (Sonosite PX)

1. Find the Sonosite machine, ensure it is plugged in to a power socket and switch on using the button at the back.
2. Enter the Patient Information section to start a new patient scan.
3. Enter the details of the patient you are scanning. These can be de-identified from images at export and entering correct information allows the images to be used for clinical comparison at a later date if required. Change the transducer and exam in the top right corner and press Scan when complete.
4. Perform the scan, saving video images using the movie icon and still images using the camera icon. Once complete press END STUDY in the top left and confirm Yes.
5. To access the images for review and export enter the Patient Information section again and select Patient List on the left side. Click on the desired patient scan to highlight it in blue.
6. Once selected press the Send to button at the bottom of the screen and select USB.
7. Insert a USB memory stick into the port at the back right of the machine.
8. The USB device should appear on the screen. This can then be highlighted in blue. Press the Export button to transfer images from the machine to the USB stick.
9. Once the transfer is complete a USB icon will appear to the right of the scan. You can then continue with additional scans or transfers.

Storing & Downloading Images (GE Vivid IQ)

r 1. Locate the GE Vivid IQ machine, ensure it is plugged in to a power socket and switch on.
2. Enter the Patient section using the touch-screen button at the bottom-left of the screen to start a new patient scan.
3. Login to the system to enable storage of images:

One machine has no password and can simply press Log On. (Operator: ADM, Password: *blank*)

One machine has the password labelled on the top of the machine. (Operator: ADM, Password: ulsadm)

4. Press the New Patient touch screen button to enter the details of the patient you are scanning. Once complete press the Create button.
5. Perform the scan, saving video images using the STORE button to the right of the trackpad.
6. Once complete press the End Exam button.
7. To download images to a memory stick, ensure a USB is inserted into the back of the machine

Open the patient study from the patient list and select the ‘Image Manager’ from the menu on the right of the screen.

8. Press the ‘Select Exam’ button on the bottom left of the screen to highlight all images. from menu bottom left.

Once selected press the ‘Send to’ button

 

 

9. Ensure the USB stick is selected from the drop-down ‘Destination’ menu.

Change the ‘File Type’ to mpeg. This will automatically anonymise the images, and produce a format readable by sonoclipshare.

Once selected, press the ‘Send’ button.

 

10. A progress bar will appear above the images. Once successfully transferred to USB this will disappear. The USB can now be removed and machine shut down.

Sharing Images With Sonoclipshare

1. Register for an account at sonoclipshare and login to the site.
2. Ensure images do not contain any patient-identifiable data. If clips do contain identifiable data the desktop uploader can be downloaded and used to de-identify images when uploading.
3. To upload a scan select the [+] in the left-sided menu and assign a name to the scan.

4. Drag the relevant files from your memory stick to upload.

Remember to include a scanned copy or photo of your scan report.

5. Following upload, click the link in the top-right corner to add comments and share images.
6. Use the text box at the bottom to annotate images (e.g. window obtained, abnormalities identified).
7. To share the image, select the ‘share’ icon from the drop-down menu at the top left of the screen.
8. Enter the email alistair.cranfield@nca.nhs.uk and press ‘send’.
9. Scans can be reviewed, shared and organised into folders using the ‘My Archives’ section in the left-sided menu
